Invitation to submit Letters of Intent to host the 2013 HTAi Annual Conference

Health Technology Assessment International (HTAi) is seeking Letters of Intent (LOIs) from not-for-profit organizations wishing to host the HTAi Annual Conference in 2013.

Letters of Intent must be submitted to the Secretariat in electronic format (MS-Word, PDF, or other compatible format) by midnight (MST) Friday, September 10, 2010.

HTAi’s mission is to promote the development, understanding, and use of HTA around the world as a means of fostering innovation and effective use of resources in health care. The Annual Conference is an opportunity for HTA users and producers to share knowledge and strengthen networks, and for a host organization to showcase its international leadership in HTA. Please refer to HTAi’s Annual Conference Guidelines for further information and hosting requirements.

Letters of Intent should include the following information:

1. Proposed location/venue. As the 2012 Annual Conference will be held in Europe, submissions from outside Europe are preferred.

2. Membership of organizing committees. Host organizations are required to convene a Local Organizing Committee (LOC) and an International Scientific Program Committee (ISPC) The LOI should include a letter of support from the chair of the LOC and should indicate the proposed ISPC chair(s). A co-chair structure is preferred.

3. Letters of support. The LOI should include letters of support from relevant public organizations (examples include Ministries of Health, Health Authorities, and other public agencies).

4. Conference theme. The LOI should outline and justify the main theme for the Conference, taking into account previous Conference themes and HTAi’s role as an international membership society.

5. Fundraising and sponsorship. The LOI should include a fundraising plan, including amounts and milestones, and should include a sponsorship plan and initial letters of support from sponsoring organizations.

Evaluation of LOIs

Letters of Intent will be evaluated and ranked by HTAi’s Annual Meeting Committee according to the quality and completeness of these elements.

Organizations submitting the highest ranked LOIs will be invited in fall 2010 to submit full proposals. Full proposals will be evaluated according to the process described in the Annual Conference Guidelines, and a final decision will be announced by mid-2011.

Previous successful LOI submissions are available for review upon request to  the Secretariat. Please note that all material submitted to the Secretariat becomes the property of HTAi.
